GBIDUKOR EVENTS MANAGEMENT PLATFORM

User Policy and Terms of Use

The rules governing use of Gbidukor.com, event registration, tickets, communications and organiser responsibilities.

Discover. Participate. Make an impact.

1. Introduction

Gbidukor.com is an event management and registration platform designed to connect people, events and communities. It supports event discovery, registration, event communications and, where enabled, ticketing and attendance verification.

These Terms of Use govern access to and use of Gbidukor.com, including its public website, registration forms, event pages, tickets and authorised dashboards. By using the platform, you agree to these Terms. If you do not agree, do not use the relevant service.

2. Platform operator

Gbidukor.com is operated by Dothouse Digital and Events Solutions Ltd (“Dothouse”, “we”, “us” or “our”). Event organisers may use the platform to publish events, receive registrations, communicate with participants and manage event activities. Organisers remain responsible for their event delivery and event-specific decisions, subject to applicable law.

3. Accurate information and eligibility

  • Provide information that is accurate and complete to the best of your knowledge.
  • Update information when necessary and submit only information you are authorised to provide.
  • Review event dates, venue, eligibility, fees and conditions before registering.
  • Where registering for another person, obtain any authority or permission required.

Some events may have age or other eligibility requirements. A registration submission does not automatically guarantee acceptance, admission or a ticket; confirmation may depend on event rules, capacity, payment status or organiser approval.

4. Event information and changes

Event information is supplied by organisers or authorised platform personnel. We may correct obvious errors, update platform information or help organisers administer events. Where practical, material changes will be communicated through available channels. We cannot guarantee that every event will proceed exactly as advertised.

5. Fees, payments and refunds

Where an event charges a fee, applicable amounts and payment instructions should be displayed or communicated before payment. Use authorised payment channels and provide accurate references where requested. A payment instruction alone does not establish that payment has been confirmed; confirmation depends on the relevant provider and records.

Refunds, cancellations, transfers and changes are governed by the conditions communicated for the event and applicable law. Unless stated otherwise, the organiser administers event-specific refund arrangements. Payment options may vary by event; not every method is available for every event.

6. Tickets, QR codes and attendance

  • Where enabled, tickets or QR codes may be used to verify registration and attendance.
  • Do not forge, alter, duplicate, resell or misuse tickets contrary to event rules.
  • Authorised event staff may check ticket and registration status.
  • QR scans may record relevant check-in details, scan results and timestamps.
  • Invalid, cancelled, duplicated or otherwise ineligible tickets may be rejected under event rules.

Offline check-in or other operational features may be available for some events. Availability and synchronisation depend on the event setup and technology. Follow instructions from authorised event staff.

7. Email, SMS and WhatsApp communications

We and authorised organisers may send service messages about registrations, confirmations, tickets, payment status, attendance, event changes and essential instructions. Where supported, messages may be sent by email, SMS or WhatsApp using details provided during registration. Delivery depends on contact details, providers, networks, devices and service availability; delivery is not guaranteed.

Essential service messages are distinct from direct marketing. Promotional messages will be handled in accordance with applicable law and required consent or preferences. Keep your contact details current and contact us if you believe they have been used incorrectly.

8. Accounts, roles and access

If an account or dashboard is provided, protect your credentials and promptly report suspected unauthorised access. Do not share credentials in a way that compromises security or access information beyond your assigned role. Platform permissions may differ by role. Administrative access does not grant unrestricted permission to use all available data.

9. Responsibilities of organisers and administrators

  • Access personal data only for legitimate, authorised purposes.
  • Keep credentials confidential and protect downloaded participant records.
  • Do not export, disclose or reuse participant information for unrelated purposes.
  • Report suspected data loss, unauthorised disclosure or account compromise promptly.
  • Follow platform instructions, applicable law and any additional agreement with Dothouse.

10. Prohibited use

You must not use the platform for fraud, harassment or unlawful activity; submit false or unauthorised information; bypass access controls; interfere with systems; upload malicious code; scrape participant records without authorisation; misuse tickets or payment references; or infringe another person’s intellectual property or privacy rights. Contact information collected for an event must not be used for unrelated marketing without the required permission.

11. Content and intellectual property

Platform software, design, branding and materials owned by Dothouse or its licensors remain subject to their intellectual property rights. You retain rights you hold in content you lawfully submit and authorise its use as reasonably necessary to display, operate and administer the relevant platform service or event, subject to applicable law and any specific permissions. Do not submit content you have no right to use. Separate permission may be needed for promotional use of photographs, videos or testimonials.

12. Privacy

Our Privacy Policy explains how personal data is collected and used. Information may be processed for registration administration, event communications, payment-status recording, ticketing, attendance verification, security and legal obligations. Acknowledging the policy does not replace consent where consent is legally required.

13. Availability and third-party services

We aim to keep the platform reliable and secure, but uninterrupted availability cannot be guaranteed. Maintenance, connectivity, provider outages and other circumstances may affect features. Hosting, email, SMS, payment and other external services may be subject to separate terms and privacy notices. Users and organisers should take appropriate precautions when handling data and using tickets.

14. Suspension

We may restrict or suspend access where reasonably necessary to protect users, events, data or the platform; investigate suspected misuse; comply with law; or enforce these Terms. Where appropriate and practicable, we will provide notice or an opportunity to address an issue. Urgent action may be necessary where security or legal risks require it.

15. Disclaimers and liability

To the extent permitted by law, the platform is provided subject to its availability and the limitations described in these Terms. We do not warrant that every listing, message, ticket or third-party service will be error-free or uninterrupted. Nothing here excludes liability or rights that cannot lawfully be excluded. Responsibility for event delivery, venue safety, cancellations and event-specific refunds may rest with the relevant organiser, depending on the circumstances and applicable law.

16. Changes to these Terms

We may update these Terms to reflect changes to the platform, services, operating practices or legal requirements. The current version will be published on Gbidukor.com with an updated effective date or version where appropriate. Where required by law, material changes will be communicated or consent obtained.

17. Governing law

These Terms are governed by the laws of the Republic of Ghana, subject to mandatory legal protections and rules that apply.
